There are three core components of the HRIS Modernization Project Strategic Training Plan.

The first two components describe the delivery of knowledge transfer sessions and the training program. The third component describes the development, publication, and integration of related training resources and materials.

TRAINING COMPONENT 1: PROJECT TEAM KNOWLEDGE TRANSFER

The first core component of the training plan involves the delivery of project team knowledge transfer sessions. As the project evolves, the Functional, Technical and Training Project Teams will collaborate to deliver Project Team Knowledge Transfer Sessions. Knowledge transfer between implementation teams and the steady-state operations team is critical to the AZ360 launch.

The project has built knowledge transfer opportunities into many of the project’s activities, including the active partnership from application planning and configuration, development of interfaces and reports, and training material development. These sessions support learning as an iterative and progressive activity and the delivery directly supports the sustainability of the project throughout its implementation and beyond. 

The most effective knowledge transfer experiences are those where the learner is directly involved in the activity. With those facts in mind, Project Team Knowledge Transfer activities will allow HRIS Project Team members to progress through a knowledge transfer cycle that incorporates the following:

  • Awareness: Introductory training to learn the general use of the application or content knowledge.
  • Observation: Shadowing members who are actively configuring the application.
  • Engagement:  Experience with content and opportunities to ask questions with the intention of gaining knowledge.
  • Application: Interacting with the application.
  • Transference: Gradually taking ownership and making their own decisions about how things should work.

TRAINING COMPONENT 2: AZ360 TRAINING PROGRAM

The AZ360 Training Program consists of a Train the Trainer (TTT) Program, User Acceptance Tester (UAT) Training, Power User Training, and End-User Self-Learning. 

The Project Training Team will use a role-based approach to the AZ360 Training Program that supports user adoption in modular segments and multiple formats. Role-based training is an effective training strategy that teaches technology and processes based on how a user would interact with the system within the context of their role and responsibilities. Because individuals who hold different job titles may actually perform duties associated with similar AZ360 roles, we do not base the definition of roles for training purposes on job titles. Instead, we use the business roles to define the curriculum and content into functional areas.


The following application functional areas for role-based training have preliminarily been identified:

  • Navigation and Reporting
  • Position Control
  • Personnel Management
  • Benefits
  • Time and Leave
  • Payroll and Deductions
  • Payroll Accounting Management
  • Workflow and Approvals

Course materials will be developed for each functional area of AZ360 and users will be mapped to the appropriate courses and/or materials based on their assigned business roles in the application.

Train the Trainer Program  | March 2024 

The State and CGI agree that the AZ360 Training Program will be best received and most effective if it is delivered to its members by State Trainers. Therefore, the Project Training Team deliver a comprehensive Train-the-Trainer Program that prepares 15 State Trainers with functional knowledge and relevant instructional methodology necessary to successfully deliver instructor-led courses as well as host open labs on the AZ360 Application.

Agency User Acceptance Testing (UAT) Training | April-May 2024

During User Acceptance Testing (UAT) for the HRIS Modernization Project, the State will test the application configurations to see if the system is acceptable for release. State personnel assigned to the project during the Configure and Develop timeframe will begin UAT activities as processes and features are configured. State agencies will be invited to participate in Agency UAT when most of the configuration is complete. Project UAT participants will be familiar with the application and processes from previous project activities. However, Agency UAT participants will not have exposure to the application, so training will be provided before they will begin testing. 

Power User Training | July - November 2024

The goal of the training program for Power Users is to fully equip all power users to successfully utilize AZ360 to complete their work. The Project Training Team will prepare 15 State Trainers to deliver virtual training to the Power Users alongside open labs. The training schedule will be published in May 2024 and registration will begin in June 2024. 

End-User Self-Learning | September 2024 

The goal of the training program for End Users is to develop and publish electronic learning materials using Advantage AssistantTM and SofiaTM to support self-learning for End Users. These materials include short videos, automation, and step-by-step system guidance in quick reference guides.

TRAINING COMPONENT 3: TRAINING RESOURCES AND MATERIALS

The third component of the strategic training plan describes the resources and materials that the Project Training Team will develop to facilitate and support user adoption. These include the following:

  • Dedicated Training Environment
  • Role-Based Training Guides
  • Advantage Assistant (Step by Step Video Tutorials)
  • Sofia (Chat Bot)
  • Quick Reference Guides (Job Aids)
